Your customers already share useful information in forms. Use those answers as placeholders in workflow actions to write them straight to the HubSpot records linked to their Valuecase Space.
For example, when a customer answers “What do we need to know for your implementation?”, a workflow can save their answer in the linked deal’s Implementation requirements property.
Before you start
Connect and configure the HubSpot integration, with permission to update the destination records.
Add the onboarding form and its text question to your Valuecase template.
Choose an existing HubSpot text or multi-line text property for the answer.
Make sure each customer Space is linked to the correct HubSpot deal. See how to use the HubSpot integration.
1. Start a workflow when the form is submitted
Open your template and go to Settings > Workflows.
Click New workflow and start from scratch.
Name the workflow, for example Save onboarding requirements to HubSpot.
Under When this happens, choose Form completed and select your onboarding form.
Select the form first so its questions become available in the answer picker.
2. Use the answer as the HubSpot value
Under Then do this, add Set HubSpot property.
Choose the deal (or any other) object under Type of object linked to Space.
Select a Property (e.g., Implementation requirements)
In Value, click the {} placeholder button. Under Form answers, select “What do we need to know for your implementation?”.
Click Create Workflow to save it.
The placeholder is replaced with the customer’s submitted answer when the workflow runs. Add another action for each additional HubSpot property you want to fill.
3. Test it with a new Space
Create a new test Space from the template and link it to a test HubSpot deal.
Submit the onboarding form with a recognizable answer, such as “We need SSO before the team rollout.”
Open the linked deal in HubSpot and check that the connected property (e.g., Implementation requirements) contains that answer. You can also inspect the workflow’s runs under the Space’s Settings > Workflows.
Template workflow changes apply to new Spaces created from that template. They do not automatically update existing Spaces.
Use the same answer in Valuecase Properties
You can use form answers in other workflow actions too. To save the answer in Valuecase, add a Set property action to the same workflow, choose a text property, and insert the question through {} > Form answers. One submission can update both the Valuecase property and HubSpot.
Useful to know
The HubSpot action updates the linked records of the selected object type. It does not create a HubSpot record; without a matching link, there is no record to update.
If the answer-based property value resolves to blank, the existing value is left unchanged.
For a dropdown or other choice property, use Bind to form answer and a compatible question. The form options must match the destination’s accepted options. Review the mapping if you change the form or destination property.
