Notify and remind your customers about important tasks and changes

Customer email notifications help keep your customers up to date on important activity in a space — for example new comments, task updates, form due dates, or completed milestones.

They are a simple way to bring customers back into the space without writing manual follow-up emails.

This article explains how to manage customer email notifications in spaces and templates.

Managing Email Notifications in a Space

Email notifications are managed per space. To open the settings:

  1. Open the space

  2. Go to Settings

  3. Open Stakeholder notifications

Here, you can see which notifications are active and who receives them.

Some notifications are always enabled because they support core collaboration in the space, such as replies, comments, and mentions.

Other notifications can be enabled, disabled, or limited to selected people.

Setting Default Notifications in Templates

You can also configure default email notification settings in templates.

This lets you decide which notifications should be enabled or disabled when a new space is created from that template.

To configure notification defaults in a template:

  1. Open the template

  2. Go to Settings

  3. Open Stakeholder notifications

  4. Enable or disable the notification types you want to use by default

  5. Save your changes

When a new space is created from the template, these notification settings are copied into the new space.

You can still adjust notification settings later in the individual space.

Template notification settings only apply to new spaces created from the template going forward. They do not update existing spaces.

Choosing Who Receives Notifications in a Space

For each configurable notification, you can decide who should receive it.

There are three main options:

  1. Disabled: The notification is turned off. No customer emails are sent for this notification type.

  2. Enabled for Everyone: The notification is sent to all stakeholders in the space with a known email address. When new stakeholders are added to the space, they are included automatically. This is useful when everyone involved in the space should stay informed about updates, due dates, or next steps.

  3. Only Selected People: You can switch to manual selection if only specific stakeholders should receive a notification. When new stakeholders are added to the space, they are not included automatically. To select specific recipients:

    1. Open the notification settings

    2. Choose the notification type and click on "Enabled for everyone"

    3. Select the stakeholders who should receive the notification from the dropdown

‼️ Automatically enrolling new Stakeholders only works if you ask stakeholders for their e-mail address before entering the shared space.

Available Notification Types

The available notification types include:

Space Activity Notifications

Space activity notifications keep customers informed about important updates in the space, such as comments, replies, mentions, or completed milestones.

Some collaboration notifications are always enabled so customers do not miss direct interactions inside the space.

Task & Milestone Notifications

Task and milestone notifications help customers stay updated on progress inside action plans. Available notifications include:

  • Task assigned to them
    Notifies task assignees and watchers when they are assigned to a task.

  • Task assignee changes
    Notifies task assignees and watchers when a task’s assignee changes.

  • Task dates changed
    Notifies task assignees and watchers when a task’s start or due date changes.

  • Task due date reminders
    Sends one or more reminders to task assignees and watchers before, on, or after a task’s due date.

  • Task completed
    Notifies task assignees and watchers when a task is marked as done.

  • Milestone completed
    Notifies stakeholders when a milestone is completed.

Form Due Reminders

Form due reminders help customers complete forms on time. A form needs a due date before due date reminders can be sent.

You can add multiple reminders, for example:

  • 1 day before the due date

  • On the due date

  • 3 days after the due date

If multiple forms are due on the same date, Valuecase groups them into one reminder email. This gives customers a clear overview and avoids sending separate emails for each form.

Managing Task Watchers in Action Plans

You can manage task-related notifications also directly from an action plan.

A stakeholder can receive task emails when they are:

  • Assigned to the task

  • Added as a watcher

  • Commenting on the task (which adds them as watcher)

Good to know: Use assignees when one person owns the task. Use watchers when additional people should stay informed.

Activity feed and audit trail

The activity feed in each space records when customer email notifications are sent, so your team can track which emails were triggered and stay in control of customer communication.

Unsubscribing and Resubscribing

Every customer email includes an unsubscribe link.

When a customer unsubscribes, they stop receiving future notifications.

You can resubscribe them later after confirming their consent. The action is logged for audit purposes.

Personal Email Notifications

Customer email notifications are different from your personal Valuecase notifications.

You can adjust your own email notifications in:

My Settings → Notifications

These settings only affect your own inbox. They do not change which customers receive space emails.

Common Questions

Can I configure customer email notifications in templates?

Yes. You can configure default notification settings in a template. When a new space is created from that template, these settings are copied into the new space.

You can still adjust the settings later in the individual space.

Are new stakeholders included automatically?

Yes, if the notification is enabled for everyone.

If the notification is set to manual selection, only selected stakeholders receive it.

Can I turn off all customer email notifications?

Most configurable notifications can be turned off.

Some collaboration notifications, such as replies and mentions, are always enabled so customers do not miss direct interactions inside the space.

Can I remind customers to complete forms?

Yes. Add a due date to the form and enable form due reminders in the space’s email notification settings.

Can I send form reminders to different people for different forms?

Not directly, because forms do not have assignees.

For this use case, create tasks in an action plan, assign them to the right people, and link each task to the relevant form.
