Stakeholder E-Mail Notifications FAQ

Email notifications keep stakeholders informed about tasks, comments, forms, and other activity in a Space.

This article explains how notifications are configured, who receives them, and how sending and replies work.

Notification & User management

Can I select for which events my stakeholder will get notifications?

Yes. For each configurable notification type, you can decide whether it is disabled, enabled for everyone, or only enabled for selected people.

You can manage this in Space Settings → Email Notifications.

Some collaboration notifications, such as replies, comments, and mentions, are always enabled so customers do not miss direct interactions inside the space.

Do all stakeholders in the user list receive all the e-mail notifications?

No. It depends on the notification setup. Each configurable notification can be:

  • Disabled

  • Enabled for everyone with a known email address

  • Limited to selected people

Task notifications are sent to task assignees and watchers. A stakeholder who is not assigned to a task or watching it will not receive task-specific emails.

Are stakeholders who make a comment automatically added to the list?

Yes. Stakeholders who comment or are mentioned receive notifications for relevant replies and comment activity.

For task comments, stakeholders can also become watchers of that task, so they receive future task-related notifications.

Can stakeholders reply to notification emails?

Stakeholders can reply directly to comment notification emails.

Their email reply is:

  • Added to the corresponding comment thread in the Space

  • Visible to people with access to that thread

  • Sent as a notification to the other participants

This allows internal users and customers to continue a comment discussion by email without opening the Space.

Replies to other types of automated notification emails are not added to the Space.

Can my customers set email preferences themselves?

Currently, external stakeholders cannot set individual email preferences and can only unsubscribe from all email notifications at once.

Do the emails contain an unsubscribe link?

Yes, all emails contain an unsubscribe link.

What happens if the stakeholder unsubscribes?

If a stakeholder unsubscribes, they will be automatically stop receiving emails from Valuecase. You can also view in the notification settings, which stakeholders have unsubscribed.

How can I re-subscribe my stakeholder, if they accidentally unsubscribed?

Yes. You can resubscribe a stakeholder. Click Resubscribe in the E-Mail notifications tab in the space settings.

Can I send notifications to stakeholders not in the space?

Stakeholders don’t need to have accessed the space before receiving email notifications.

However, they should be aware and have consented that you added them to the space and its notifications.

Please note: When you add someone as a stakeholder, they can access the space with their email address. Every email notification contains a link to the space.

Can I configure notification settings in templates?

Yes. You can configure default notification settings in templates.

When a new space is created from that template, the notification settings are copied into the new space.

You can still adjust the settings later in the individual space.

Template notification settings only apply to new spaces created from the template going forward. They do not update existing spaces.


Email Content

Are the emails available in other languages.

Yes. The text of the emails is available in all languages we natively support as shown in the template settings.

Can I change the text of the emails?

The standard text of automated notification emails cannot be edited.

The content is generated automatically based on the notification type and the related activity in the Space.

However, you can use Workflow Automation to send a custom email with your own subject and message when a selected event occurs—for example, when a form is submitted or a task is completed.


Sender and Delivery

From which domain are the emails sent?

By default, customer-facing notifications are sent from a Valuecase email address.

Can I send the email from my own domain?

Yes. A custom sending address can be configured as part of the custom domain add-on.

This allows customer-facing emails to use a sender address associated with your company instead of the default Valuecase address.

Contact your Valuecase representative or reach out through the chat to set it up.

How does Valuecase support email delivery?

Valuecase monitors email delivery and works with its email infrastructure providers to maintain reliable delivery.

Recipient mail servers and company security settings can still affect whether an email reaches the inbox. Ask the recipient to check their spam folder or contact their IT team if notifications are being blocked.


Notifications for Internal Users

Can my colleagues receive these emails as well?

Internal users can enable their own Valuecase notifications in their personal settings.

You can also add internal collaborators as stakeholders in a Space and include them in the relevant stakeholder notification settings.

How do I know if an email has been sent to my stakeholder?

The activity feed shows each email sent to a stakeholder.

You can use the activity feed to understand which notifications were triggered and when customers were contacted.

Can I see whether a stakeholder opened an email?

Valuecase does not show email-open tracking.

Email-open data is often unreliable because spam filters and automated security tools may open emails before the recipient does. Instead, use the activity feed to see whether the stakeholder visited or interacted with the Space after receiving the notification.
