Add Google Drive files to Valuecase

Connect Google Drive and choose between a live file and a copy stored in Valuecase.

Written by Jan Niklas Wick

Add files from Google Drive to your Asset Library, templates and Spaces. Link to the original file so changes in Google Drive appear in Valuecase, or copy a fixed version into Valuecase.

Connect Google Drive

  1. In the Valuecase dashboard, click your profile picture and select Connect my tools.

  2. Find Google Drive and click Connect.

  3. Choose your Google account and approve the requested access.

Each user connects their own Google account. Once connected, Add from Google Drive becomes available where you can add files.

Add a file

  1. Open the Asset Library, or open a template or space in the editor.

  2. In the Asset Library, click Add from Google Drive. In a template or space, open the file or media menu, e.g., of a files or media block and select Add from Google Drive. You can also select Google Drive in the file/embed dialog and click Pick file.

  3. Select the file you want to add in the Google Drive picker and choose Link to original file or Copy into Valuecase.

Link to the original file

Choose this option when you want to keep working on the file in Google Drive. Valuecase embeds the original file, and changes made in Google Drive appear in Valuecase.

Access still depends on the original file’s Google Drive sharing settings. Check the access message before linking:

  • Anyone with the link can view this file: visitors can access the linked file.

  • Restricted access: visitors may not be able to see the file. If Update access is available, use it to allow anyone with the link to view the file.

  • Could not check access: review the file’s sharing settings in Google Drive before sharing your Space.

Update access changes the sharing settings of the original Google Drive file. Anyone who has its link can then view it, including people outside your Valuecase Space.

If you cannot change access, ask the file owner for help. Your organization’s Google Workspace settings may also prevent this sharing option.

Copy into Valuecase

Choose this option to share a fixed version of a file. Valuecase stores a snapshot; later changes in Google Drive do not update the copy.

  • Google Docs, Sheets, Slides and Drawings are converted to PDFs.

  • Uploaded files such as PDFs, images and videos keep their existing format.

  • Files larger than 20 MB cannot be copied. You can link to the original file instead.

Copying does not require changing the original file to “Anyone with the link.” You must have permission to download or export it.

Common questions

I cannot see “Add from Google Drive”

Check that your account is connected under Connect my tools and that you have permission to add or edit files in the current location. If Google Drive is unavailable there, contact your Valuecase administrator or support.

My customer cannot see a linked file

Check the original file’s Google Drive sharing settings. Adding it to a Space does not override those permissions.

My copy does not show recent changes

Copied files are snapshots. Add a new copy, or choose Link to original file when you want changes in Google Drive to appear in Valuecase.

What happens if I disconnect Google Drive?

Files already copied into Valuecase remain available.
