Use form due dates and reminders to collect information from customers on time.
Form due dates help you make it clear when a form should be completed. You can set due dates directly in a space or configure relative due dates in a template, so every new space follows the same timeline.
You can also enable automatic reminder emails, so you don’t have to chase customers manually.
When to Use Form Due Dates
Form due dates are useful when customers need to complete a form by a specific point in the process. Common examples include:
Onboarding questionnaires
Implementation intake forms
Compliance forms, such as KYC or AML
Technical setup forms
How Form Due Dates Work
A form due date is shown to viewers in the space. It tells them when the form should be completed.
Due dates can be set in two ways:
In a template, using a relative due date
In a space, using a specific date
Setting Relative Due Dates in Templates
Use relative due dates when every customer should follow the same timeline.
For example, you can set a form to be due 7 days after the space is created. When a new space is created from the template, Valuecase automatically calculates the due date for that space.
To set a relative due date in a template:
Open the template
Open the form block
Click Set due date
Choose a relative due date
Save your changes
Setting Due Dates in a Space
Use space-level due dates when you want to set or adjust the deadline for one specific customer or project. To set a due date in a space:
Open the space
Open the form block
Click Set due date
Choose the due date
Save your changes
The due date is visible to viewers in the space. You can also adjust the due date later if the timeline changes.
Sending Form Reminder Emails
You can send automatic reminder emails before or on the form due date.
To enable form reminders:
Open the template or space
Go to Settings
Open Email notifications
Find the form due reminder notification
Enable the notification
Choose when reminders should be sent
If multiple forms are due on the same date, Valuecase groups them into one reminder email. This gives viewers a clear overview and avoids sending separate emails for each form.
Important: Form reminders are not assigned to specific people
Forms do not have assignees. Form reminder emails are sent to the people who are subscribed to form reminders for the space.
This means reminders apply to all forms in that space, not to one specific form owner.
If different forms should be owned by different people, use tasks in an action plan instead. You can assign each task to the right person, add a quick action button that links to the form, and use a workflow to automatically complete the task once the form is submitted.
