Managing Form Submissions

Forms in Valuecase help you collect structured input from customers and other space members. Once a form has been filled out, you can submit it, review responses, reopen it if needed, and download submissions for sharing or reporting.

This article explains how form submissions work, where to find responses, and how to export them as CSV or PDF.


Submitting and Managing Responses

Submitting a Collaborative Form

In a Collaborative Form, everyone with access to the space works on one shared response. Once all inputs are ready, click Complete to submit the form.

After submission:

  • The form is marked as completed

  • The submitted answers remain visible in the space

  • The form is locked to prevent further edits

  • Your team can track the completion from the space dashboard

This helps create a clear final version of the submitted form.

Reopening a Collaborative Form

If answers need to be changed after submission, an internal editor can reopen the form. To reopen a submitted Collaborative Form:

  1. Navigate to the submitted form in the space

  2. Open the sidebar

  3. Click Undo submission

  4. Make the required changes

  5. Have the designated party complete the form again

Reopening a form makes the shared response editable again.

Managing Survey Submissions

In a Survey Form, each space viewer submits their own individual response.

After a viewer submits the survey:

  • Their response is saved

  • The response is visible to your internal team

  • Other external viewers cannot see their submission

  • The submitted response cannot be reopened by the viewer

Editors can control whether the survey continues to accept new submissions.


Viewing and Tracking Submissions

Viewing Responses in a Space

Your team can view form responses directly inside the space.

  • For Collaborative Forms, responses are visible in the form block in the space both before and after submission.

  • For Survey Forms, your team can review individual submissions from each viewer.

Tracking Form Completion Across Spaces

You can also track form completion across spaces. This is useful when managing several customer spaces and checking which forms have already been completed.

Form completion can be tracked from places such as:

  • The Forms tab in the space side panel

  • The Form Completions column in the spaces list


Downloading and Sharing Submissions

You can download form submissions to review, share, print, or process them outside of Valuecase.

When clicking a download button, choose between:

  • Download as CSV

  • Download as PDF

CSV downloads are available for Collaborative Forms and Survey Forms.

Use CSV when you want to analyze responses in a spreadsheet or process the submitted data in another tool.

CSV downloads include the submitted answers. For file upload questions, the CSV includes links to the uploaded files.

Download as PDF

PDF downloads are available for Collaborative Forms.

Use PDF when you want a readable, printable version of a submission that can be shared with stakeholders who do not need access to Valuecase.

The PDF is formatted as a DIN A4 document and includes:

  • Form title

  • Submitter name

  • Submission date

  • Each question and answer with rich text formatting, such as bold text, italic text, lists, and links

  • Table answers as tables

  • Uploaded image previews

  • Links to uploaded files

This allows you to review the submission directly from the PDF without opening the form again.

Downloading Files and Attachments

If a submission contains uploaded files, the download is provided as a ZIP file.

Depending on the selected format, the ZIP can include:

  • CSV files

  • PDF files

  • Uploaded attachments

Uploaded images are shown as previews in the PDF where possible. Other uploaded files are listed with links so they can be opened or downloaded directly.

Downloading All Submissions

You can download:

  • A single form submission

  • All submissions for one form

  • All form submissions for one space

When downloading multiple Collaborative Form submissions as PDF from the space dashboard, Valuecase includes the individual PDFs. If multiple Collaborative Forms are included, Valuecase also creates one merged PDF with all included form submissions.

This is useful when you want one complete document for a customer space, project handover, or internal report.

Where Downloads Are Available

Downloads are available from several places in Valuecase:

  • Completed form block in the space

  • Form sidebar in the editor

  • Submission preview modal

  • Space side panel under the Forms tab

  • Spaces list in the Form Completions column

  • Via our API or Make.com / Zapier connectors

The available download options depend on the form type and whether you are downloading one form or multiple forms.


Common Questions

Can customers edit a form after submitting it?

For Collaborative Forms, an editor can reopen the form by clicking Undo submission in the sidebar.

For Survey Forms, submitted responses cannot be changed by the viewer.

Can I download all Collaborative Forms in one PDF?

Yes. When downloading all Collaborative Form submissions as PDF from the space dashboard, Valuecase includes individual PDFs and one merged PDF.

Can uploaded images and files be reviewed from the PDF?

Yes. Uploaded images are shown as previews where possible. Uploaded files are listed with links so they can be opened or downloaded directly.

Why is the PDF option disabled?

PDF downloads are only available for Collaborative Forms. If the form is a Survey Form, or if a space-level download includes a Survey Form, the PDF option is disabled.

Can uploaded files be downloaded?

Yes. Uploaded files are included when you download form responses; either directly in the PDF (for images) or as separate files in the downloaded ZIP-file.
