Manage assets better than never before

Our Asset Library allows you to easily upload, organize, and manage files for your entire organization in one central location. The Asset Library is available via the sidebar in your dashboard. Here’s a quick guide to help you get started.

How to use the Asset Library

Uploading Assets to the Library

Uploading files to the asset library is simple and fast:

  1. Click on Add Asset in the top right corner of the library interface.

  2. Choose one of the following options:

    • Upload a file from your computer.

    • Add a link or embed media content.

That's it! Your asset will now be available in the library.

Hint: Add a description to provide context when to use a file for your colleagues. The description is for internal use only, and will not appear in spaces.

Organizing Assets with Folders

To help keep your assets organized, you can create folders and subfolders:

  1. Click on Add Folder.

  2. Enter a name for your new folder.

  3. You can also create subfolders within existing folders.

Any files you upload while a folder is open will automatically be added to that folder.

Moving Files and Folders

You can move files or entire folders to different locations within the library:

  1. Click on the three-dot menu next to the file or folder you want to move.

  2. Select Move.

  3. In the pop-up that appears, choose the folder where you want to move the file or folder.

Adding Files to Spaces

You can easily add files from the asset library to any block that supports file uploads. Here’s how:

  1. When uploading a file, click on the File Upload button as you normally would.

  2. Select the Asset Library option.

  3. Choose the file from the asset library.

  4. Click Confirm to add the file to the space.

Who can add items to the Asset Library?

Administrators and users with Template Editing rights can add items to the asset library.


Who can use the assets?

Assets can be added to spaces by all users within your company who have a Valuecase account.


Can I upload files for personal use only?

No, the asset library is designed for team use. However, you can use folders to organize files by person, but keep in mind that all files remain visible to everyone in your organization.


What types of files are supported?

The asset library supports a wide range of file types, including all documents, links, and embeds that are currently supported in spaces.


What happens when I edit the name or thumbnail of a file?

You can rename files and update thumbnails. These changes will be reflected in templates unless they’ve been overwritten in a specific template.


What happens when I delete a file from the library?

The file will remain available in all existing spaces and templates, but it cannot be added to new spaces from the asset library.


Can I replace assets?

Not yet. The option to replace assets is currently unavailable.


I can't find a file. What should I do?

  • Use the search function to locate the file.

  • Double-check the spelling of the file name.

  • Ensure no one in your organization has changed or deleted the asset.

  • Note: Some files, such as zip folders, can only be added to file blocks. They won’t appear in content blocks because we can't render a preview for them.

Can I get analytics on the use of our assets?

Not yet, but we’re working on adding this feature in the future. Please contact us about any specific requirements you may have.


What happens when I delete a file from the library?
