How to use the Action Plan Analytics.
Step 1: Open the Action Plan Analytics
Navigate to the Dashboard sidebar and select Analytics.
Step 2: Explore the Summary View
Begin by viewing your templates to gain a comprehensive overview of key metrics such as completed tasks, average time to completion, and more.
Drill down into specific templates to uncover detailed insights.
Step 3: Use Filters to Gain Context
Utilize the time filter at the top of the dashboard to select your desired timeline. The default is set to spaces created in the last 3 months.
Customize your view further by using additional filters, like templates, and action plans.
Step 4: Drill Down into Details
Use the "Open Details" option to move seamlessly between levels and apply relevant filters automatically.
Click any data cell in the table to reveal detailed space-level data.
Understand the Data
The data table contains the same data on all 4 aggregation levels, however, the breakdown is different.
Here is how the data points are calculated:
Count of spaces: Total number of spaces which have been created from a template in which the Action Plan item is used.
Completed %: Displays the percentage of items marked as completed.
A space is considered completed only when all associated action plans are completed.
Similarly, an action plan is completed only when all its milestones are marked as completed, and so on.
Completion days: Shows the average days to completion. The metric is calculated based on the start date of an action plan or, or if not set, the creation date of a space.
Quickest & Slowest Quartile: The fastest and slowest quartiles help you understand what “quick” and “slow” truly mean in your processes. The quickest 25% (first quartile, Q1) represents the completion time for spaces faster than 75% of all spaces.
The data refreshes hourly. If recently closed tasks are not reflected immediately, allow a few minutes for updates. You can view the last refresh time in the bottom-right corner of each page.
Please note, that we only provide analytics for items that have been created in a template. Accounting for individual action plans, tasks or milestones added to single spaces would make a standardized comparison much more complex and difficult, so they do not show up. However, an action plan (etc) is only completed when all tasks including space-specific tasks are completed.
Navigating the reports
Here is a quick overview of the main functionalities to navigate the Action Plan Analytics
Tabs for Aggregation Levels:
Use the tabs at the top of the page to switch between different aggregation levels.Open Details:
Click on Open Details for any line item to drill down to the next level of detail. Filters are applied automatically to ensure you only see related items.Time Period Adjustment:
Adjust the time period in the top-right corner. By default, the view is set to Spaces created in the last 3 months.Breakdown by Space:
Click on any cell in the data table to see a space-level breakdown of the selected value.
Exclude from Analytics
You can also exclude an Action Plan from the analysis. Simply go to the Settings tab of an Action Plan block in your space or template, and disable the toggle next to the option titled "Action Plan Analytics and Reporting enabled".
