Customer Email Notifications

Overview

You can enable automatic email notifications to be send to your customers for new activities in your spaces. The automated alert allows your customers to stay up to date on key events and are a simple, but effective way to bring them back to your space. At the same time you save time, as you don't need to write emails manually to your customer, to make sure they are aware of recent updates in a space.

Manage Email Notifications in Space Settings

Open Space Settings → E‑mail Notifications. This panel controls who receives emails for the current Space. It has two blocks

  • Space Activity covers Space wide updates such as new comments and completed milestones. Add stakeholders with the blue + if you want them to receive these alerts.

  • Task Watcher Notifications cover task updates inside Action Plan Blocks. Task emails go only to watchers. A stakeholder becomes a watcher when they are assigned to a task or when they comment on a task. You can also add or remove watchers manually.

Each row has a toggle to turn a notification on or off and a blue + to add recipients.

Adding and removing recipients

  • Click the + icon and tick the people who should get that email.

  • If you want to add a new stakeholder, enter the email and the name. Turn on Notify this person about new events if you want them to receive space updates

  • In the Task section the person you add becomes a watcher. Only watchers get task emails.

  • Remove with the X.

Automatic enrollment of recipients

Enable automatically enrolling new Stakeholders if every new stakeholder should receive a notification for the specific activity by default. This setting is also available in templates. If activated in a template, all spaces that are created from this template will have the selected notifications automatically activated from creation.

‼️ Automatically enrolling new Stakeholders only works if you ask stakeholders for their e-mail address before entering the shared space.

Manage Email Notifications in Action Plan Blocks

Assign people and manage watchers without leaving the task. There are two ways stakeholder will receive task emails

  • Be assigned to the task. Assignment makes the person a watcher and they get task emails.

  • Be added as a watcher. Add via the bell button in the task or in E-mail Notifications and they get task emails.

Good to know

  • Task emails send only for notification types that are on in Space Settings → Stakeholders & Notifications → E-mail Notifications

  • You cannot remove a watcher who is the current assignee

  • Commenting on a task makes the author a watcher

  • An orange banner means there are no assignees or watchers and task emails will not send

Unsubscribe and resubscribe

Every email includes an Unsubscribe link. When a buyer clicks it they stop all future notifications. Sellers can resubscribe them later with the Resubscribe button after confirming the buyer’s consent. The action is logged for audit.

Activity feed and audit trail

The activity feed records each email sent and every time a watcher is added or removed.

Personal e-mail notifications (quick note)

  1. Adjust your personal e-mail notifications in My Settings → Notifications. Here, you can select the event notifications that matter to you most.

  2. These choices affect only your inbox. They do not change who receives Space e-mails
